At Mobile Vikings, your privacy is extremely important to us and we also take the expectations of job candidates to heart. That’s why we do our utmost to explain in this Privacy Policy in clear and unequivocal language which personal data we collect, what we use it for and what your rights are in this respect.

When does this Privacy Policy apply? 

This Privacy Policy applies when you apply for a job at Mobile Vikings nv, and applies to the entire application and recruitment process. 

About Mobile Vikings 

Mobile Vikings nv, with registered office at Kempische Steenweg 309/1, 3500 Hasselt and company number 0886.946.917, is responsible for processing your data during the application procedure.

Mobile Vikings is a company active in the telecom sector (with the brands Mobile Vikings and JIM Mobile) and is part of DPG Media Group. 

Which data does Mobile Vikings collect? 

Mobile Vikings processes the following types of personal data when you apply for a job: 

  • Identification and contact details:
    Mobile Vikings processes the identification and contact details you provide when you apply for or request information about a particular vacancy at Mobile Vikings. The data we process in this context include e.g. your name, address, e-mail address, telephone number, date of birth and gender. 
  • Professional and academic data:
    We collect data relating to your educational level, qualifications and any previous job experience(s). This data includes information about your diplomas, education, skills, previous employers, experience, projects, wages and (extra-legal) benefits, roles, etc.  
  • Results of tests and analyses:
    If the application procedure involves taking a specific test, we will receive and process your answers and the results of those tests.
  • Internal assessments:
    When assessing your application, we will process data relating to it. For example, we collect feedback on your profile, any interviews you had with Mobile Vikings employees, internal notes and other data that allow us to assess your application. 
  • Other information you provide yourself:
    We will also process any other information you provide to us in your CV and/or motivation letter/e-mail. This may include information about your personality, your hobbies, your marital status, your driving license, recreational activities, your expectations, etc. 

What will personal data be used for?

We process personal data for various purposes, each time only processing the data necessary to achieve the intended purpose. For example, we use personal data when necessary:

  • in the context of the preparation, execution or termination of our contract with you (e.g. employment contract, internship contract, etc.);
  • in order to comply with the legal or regulatory provisions to which we are subject (e.g. compliance with anti-discrimination laws, provision of information to public authorities in the context of judicial investigations, etc.); and/or
  • for the protection of our legitimate interests, in which case we always strive to strike a balance between that interest and respect for your privacy.

If the processing of your personal data is not necessary for one of the three reasons mentioned above, we always ask for your permission to process your personal data.

Specifically, we collect personal data for the following specific purposes:

  • To assess your application:
    When you apply, we will process your personal data in order to assess your application, assess your competencies and compare your profile with the profile we are looking for. This allows us to determine whether or not we wish to recruit you and under what conditions. 
  • In order to comply with laws and regulations:
    We may also use your personal data to comply with laws and regulations that Mobile Vikings must comply with and to have audits and checks carried out. Mobile Vikings may be required by law to disclose personal data in the context of a dispute or litigation or if certain government agencies (e.g., police, judicial authorities, emergency services) so require. In order to comply with these laws and regulations, we may disclose this information without you knowing, without your consent, and even without informing you. 
  • To prevent and/or detect abuse or fraud:
    Mobile Vikings may also use your information to prevent, detect and investigate illegal or suspected illegal practices, such as fraud (e.g. regarding diplomas, education and qualifications). 
  • To improve our application and recruitment process:
    We will also process your feedback, if any, to improve Mobile Vikings’ application and recruitment process. 

Does Mobile Vikings engage in automated individual decision-making? 

No. The European data protection law (GDPR) imposes certain conditions on organisations when they take decisions on individuals solely on the basis of automated processing operations, including profiling, and when those decisions produce legal effects or other significant effects.

In concrete terms, the law refers to examples such as automatic processing of job applications over the internet without human intervention. Mobile Vikings does not engage in this type of decision-making.

To whom can my personal data be passed on?

Under no circumstances will we sell your personal data to other companies, and we do not allow third parties to use your data for their own purposes, unless you give specific permission for this. In concrete terms, your data will only be shared with the following parties:

  • Suppliers, subcontractors and other service providers:
    We use other companies, intermediaries, consultants, subcontractors or other service providers to perform certain services on our behalf. For example, we use suppliers to provide communication, infrastructure and IT services, analyse data and process and manage user feedback. These providers may have access your personal data or other information in the course of providing such services. In any case, we only give these companies or individuals permission to process your personal data to the extent necessary for the provision of their services or compliance with certain legislation, and require them to take the necessary measures to respect the confidentiality of your personal data.
  • Other entities of DPG Media Group:
    If there is a potentially interesting vacancy at another entity within DPG Media Group that meets your qualifications and competences, we can share your data with that entity, but only to the extent that you give permission for this. 
  • Governments:
    It is also possible that we share or pass on personal data: (i) to comply with the law or in the context of legal proceedings or legal requests; (ii) to detect, prevent or otherwise address fraud and technical security issues; or (iii) to protect the rights of Mobile Vikings. 
  • Business transfers:
    Mobile Vikings reserves the right to transfer data, including personal data, in relation to any reorganization, restructuring, merger, sale, or other transfer of business assets, provided the receiving party agrees to process your personal data in accordance with our Privacy Policy.   

How long will my personal data be retained?

We will not retain your personal data for longer than is necessary for the purpose for which they were collected, taking into account that some data may need to be retained for a certain period of time to comply with certain laws.

In concrete terms, this means the following:

  • When you have successfully completed the application procedure and entered into an employment contract with Mobile Vikings, all data relating to your application will be added to your internal personnel file. These data are then further maintained in line with our Employee Privacy Policy. 
  • In case you do not enter into an employment contract with Mobile Vikings after the application procedure (e.g. because Mobile Vikings judges that your profile is not suitable or because you do not wish to respond to a job offer from Mobile Vikings), your data will be kept until the end of the period within which a complaint related to the application and recruitment procedure can be submitted. Your CV will therefore be kept for another 6 months. 

What are your rights and how do you exercise them? 

The right to data protection is a fundamental right in the European Union. Even if you share your data with companies in the context of an application, you should always be able to retain control over your personal data. Below, we list your rights and how you can exercise them at Mobile Vikings:

Right of inspection

You have the right to receive confirmation from Mobile Vikings as to whether or not we process your personal data, to have access to the personal data and how and why they are processed, as well as a copy of the data concerned. Right of rectification

You have the right to ask for your data to be corrected if you notice that we are processing erroneous data about you. You can send us your requests for correction via e-mail to privacy@mobilevikings.be

Right of data erasure

You have the right to request the erasure of your personal data. This is not an absolute right and is therefore not always applicable. You can exercise this right by sending an e-mail to privacy@mobilevikings.be

Right to restriction

You have the right to have the processing of your personal data restricted in certain specific cases. You can exercise this right by sending an e-mail to privacy@mobilevikings.be

Right to transferability

You have the right to request the data that you have provided to us within the framework of processing that is based on your (explicit) consent or that is strictly necessary for the performance of a contract with you. These will then be provided to you in machine-readable form. You can exercise this right by sending an e-mail to privacy@mobilevikings.be

Right of objection

You have the right to object to the processing of your personal data on the basis of our legitimate interest, including profiling, for reasons relating to your specific situation. You can exercise this right by sending an e-mail to privacy@mobilevikings.be
